Proofing 101: What It Means, Why It Matters, and How We Do It at PCKG

As a brand owner, you may think that once your packaging design is approved, it’s ready to go to print. The artwork looks great, everyone has signed off, and the design is sitting perfectly on the dieline. Time to start the presses, right?

Not quite. There’s actually a lot that needs to happen between design approval and machines running. Your creative file needs to be translated into something a printing press can actually produce. Colors need to be checked and separated, artwork needs to be reviewed against the structure, technical specifications need to be confirmed, and the file needs to pass through multiple sets of trained eyes before thousands of pieces of packaging can safely go into production.

That process is called proofing. And while the proof you eventually receive might look like “just another PDF,” there’s a lot happening behind the scenes before that PDF ever gets to you. 

So, What Exactly Is a Packaging Proof?

A packaging proof is a representation of your final artwork prepared for production. Think of it as the last major checkpoint between your design file and the manufacturing floor.

Depending on the packaging format and printing process, a proof may show:

  • Final artwork placement

  • Dielines, folds, seals, zippers, valves, windows, and other structural elements

  • Print colors and color separations

  • White ink or specialty ink layers

  • Foils, varnishes, spot finishes, or other embellishments

  • Barcodes and QR codes

  • Minimum type sizes and line weights

  • Bleeds, safe areas, and registration requirements

  • Manufacturing notes specific to the structure

The goal at this stage isn’t to redesign the packaging; it’s to confirm that the artwork has been translated correctly from a creative file into something that can actually be manufactured.

Why Does Proofing Matter?

Packaging lives in two worlds: design and manufacturing. Something can look perfect in Adobe Illustrator and still create problems on press. A line may be too thin, an RGB color may look dull in CMYK, or a transparency or effect may not separate the way you expect it to. Artwork may technically fit the dieline but look completely different once the package is formed.

Those are exactly the kinds of things a good proofing process is designed to catch. The later a problem is discovered, the more expensive that problem becomes. Because catching something on a digital proof is relatively simple, but catching it after 15,000 bags have been printed? Not so much.

A Quick Note About AI-Generated Artwork

As AI-generated imagery becomes more common, we’re seeing more brands use AI tools to create visually appealing concepts and artwork for their packaging. But there’s an important distinction here:

Looking print-ready and being print-ready are two very different things.

An AI-generated image is typically a finished raster image. It may look amazing on screen, but it wasn’t built with a printing press, dieline, ink system, or packaging structure in mind. Before that artwork can enter a traditional proofing workflow, there can be quite a bit of work required behind the scenes to turn it into something we can actually manufacture.

Depending on the artwork and printing process, that may mean rebuilding or vectorizing elements, increasing or recreating resolution, separating colors, creating spot-color or white-ink layers, cleaning up fine details and artifacts, extending artwork for proper bleeds, adjusting elements around folds and seals, setting up specialty finishes, and converting the artwork into a file that can actually be separated and controlled during production.

Sometimes portions of the artwork simply need to be redrawn or rebuilt from scratch. This is especially important with AI artwork that contains tiny details, complex textures, gradients, transparency effects, or hundreds of subtly different colors. Whether your artwork was created by a graphic designer, illustrator, photographer, or AI tool, the same rule applies:

A beautiful image is not automatically a production file.

This is where having people who understand both design and production becomes incredibly important.

At PCKG, Proofing Is a Team Sport

One thing that makes our process a little different is that proofing isn’t handled by one person sitting between the customer and the factory. There are multiple sets of trained eyes involved, and each is looking at the project from a slightly different perspective.

It Starts With Our Stateside Design + Production Team

Our U.S. creative team is made up of multidisciplinary designers with backgrounds that extend beyond graphic design and into production. That distinction matters. We’re used to thinking about what happens to artwork after it leaves the screen. When we’re reviewing packaging, we’re not only asking: Does this look right? We’re also asking: Will this produce correctly?

That means looking at hierarchy and aesthetics alongside the less glamorous, but extremely important, details like bleeds, line weights, overprints, color builds, print tolerances, and how the artwork interacts with the final structure.

That production knowledge is becoming even more important as brands bring us increasingly complex digital and AI-generated artwork that may never have originally been built for print. Our job is to help bridge that gap.

From Miami To Mumbai

Once artwork enters the production workflow, our KLD engineering team at PCKG’s Mumbai headquarters adds another layer of review. KLD stands for Key Line Drawing. It’s essentially the technical blueprint for the package and the precise structure onto which your artwork is mapped.

Our engineers understand how that flat drawing eventually becomes a physical pouch, carton, cup, label, or other piece of packaging. They’re looking at the project structurally: seals, folds, gussets, panel alignment, zipper and valve placement, cut areas, tolerances, and other manufacturing requirements.

This is an important distinction. A designer may understand where something should visually appear. An engineer understands exactly where it needs to sit for the package to convert and function correctly. Those two perspectives work together.

The Factory-Level Proofing Team

From there, the artwork reaches the people closest to production: our factory-level proofing and prepress teams. Their job is to evaluate the files specifically for the equipment, material, print method, and production specifications being used for that particular job.

This is where things get very practical. Can the press reproduce this detail consistently? Are the color separations correct? Are the specifications appropriate for this material? Are specialty layers identified properly? Is anything likely to create an issue during printing, laminating, converting, cutting, sealing, or finishing?

By the time your artwork is ready for production, it has been viewed through creative, engineering, prepress, and manufacturing lenses.

Then the Proof Comes Back to You

After all of that, you receive the proof for approval. And this part is important because there are certain things only you can ultimately confirm.

Check your:

  • Product names

  • Spelling

  • Net weights

  • Ingredients

  • Addresses

  • Certifications

  • Barcodes and QR codes

  • Origin information

  • Legal copy

  • Website URLs

  • Coffee details

  • Any other variable information specific to your product

Our team can flag something that looks unusual, but we can’t know that your Ethiopian coffee was supposed to say peach instead of pear. Your approval tells us that the content and artwork shown on the proof are correct and ready to move forward.

So please, actually look at it. We promise we’re not sending you another PDF just for fun.

Digital Proof vs. Physical Sample

This is another place where we see some confusion. A digital proof is primarily intended to confirm artwork, placement, production setup, and specifications. It’s important to remember that your monitor is emitting light while printed ink is interacting with a physical substrate. Those two things will never behave exactly the same way.

A physical sample or press proof, when applicable, can give you additional information about material, construction, finishes, and color. But even physical samples need to be understood within the context of the final production process. That’s why our team will tell you what a particular proof is intended to verify instead of treating every type of proof as interchangeable.

“Can You Just Fix It?”

Sometimes! If our team catches a straightforward production issue, we may be able to make the necessary adjustment on our end. Other times, we’ll send the file back with an explanation of what needs to change. And sometimes we’ll flag something that isn’t technically wrong at all. It simply carries a production risk that we think you should know about before moving forward.

The goal isn’t to create unnecessary rounds of revisions. It’s to make sure everyone understands exactly what is going into production before we manufacture thousands of pieces of it.

Why Do So Many People Need to Look at One File?

Ahh, the golden question. The short answer: packaging is unforgiving. Once ink hits material and production starts running, fixing a mistake isn’t as simple as updating a website or swapping out a digital asset. That’s why our proofing workflow intentionally connects the people who understand the design, the people who understand the structure, and the people who understand the machinery actually producing it.

Our designers bring creative and production experience. Our KLD engineers understand how artwork translates onto the physical package. Our factory-level proofing and prepress teams understand the realities of printing and converting that package at scale.

Different eyes catch different things, and we’d much rather catch them on a proof than on a finished bag.

Before You Sign “Approved”

Our best advice? Don’t treat the proof email as a formality. Open it on a desktop. Zoom in. Read every word. Look at every panel. Check the dieline. Scan the barcode or QR code where applicable. Have another person on your team review it if you can.

Then approve it.

Because that little PDF isn’t just another step in the process, it’s the final conversation between your artwork and the manufacturing floor.
